Nordic Energy Research Data Protection Policy

1. Data Controller

Nordic Energy Equality Network is an organisation under the auspices of Nordic Energy Research. The Director of Nordic Energy Research is responsible for ensuring that Nordic Energy Research processes personal data in accordance with the relevant regulations.

2. Data Protection Officer

Nordic Energy Research has a data protection officer at the organisation. The primary responsibilities of this staff member are to serve as the professional/institutional resource within the domain of personal privacy; to provide information and guidance regarding protection of privacy; and to ensure compliance with the regulations and internal guidelines for data processing.

Furthermore, the data protection officer is responsible for answering questions from individuals whose personal information is processed by Nordic Energy Research.

3. Web-based Processing of Personal Data

3.1. General Processing

Nordic Energy Research (NER) collects and processes personal information via its web page nordicenergy.org and other domains that Nordic Energy Research has registered for its various programs and activities. Personal information is provided on a voluntary basis when visiting these web pages. The processing of personal information in connection with the services we offer, such as subscribing to newsletters and events, is done with the consent of the user. We do no share user information with any third parties without the express permission of the user. 

Neen.network is constructed by web developer Peter Simonsson, whom Nordic Energy Research has entered into a data processing agreement with. Only Nordic Energy Research has access to personal data.

3.2. Web Statistics

When you visit the Nordic Energy Equality Network website, the IP address you are visiting from will be registered. This information is processed in an anonymized form so that they cannot be linked to individuals. The purpose of this collection is to compile statistics used to gain knowledge about the number of people who visit the various pages. The statistics is provided by Domeneshop AS. Nordic Energy Research has entered into a Service Agreement with Domeneshop AS, including a data processing agreement.

3.3. Subscriptions and Event Registrations

In connection with registration for various events, Nordic Energy Research makes use of an electronic sign-up solution from Eventbrite. Upon signing-up, the name and contact information of the person who registers will be stored. The purpose of the processing is to manage subscription and participation, and information will be deleted after the event has ended.

3.4. Newsletters 

You can subscribe to electronic newsletters from Nordic Energy Equality Network. The company MailChimp delivers the solution for these newsletters and acts as a data processor for Nordic Energy Equality Network in accordance with the agreement we have made with them. In order to send e-mail to the right recipient we must save your name and e-mail address. We may also save other information you choose to provide, such as affiliation and occupation. This information is stored in the MailChimp database. We will not share your information with third parties without your express permission, and we delete your information when you end your subscription. We will use the information only to manage the sending of newsletters or event invitations. 4. Data Processing

4.1. Case handling and archives

Anyone receiving the fees from Nordic Energy Research are registered in Agresso, which is our Enterprise Resource Planning (ERP) system. Such registration is required to be able to make agreed payments and report to Norwegian (possibly foreign) governing bodies.

5. Right to Access

Individuals who are registered within any data system pertaining to Nordic Energy Research have the right to access their personal data. In case the shared personal data are incorrect, incomplete or if Nordic Energy Research is storing information that it is not allowed to have, the registered individual has the right to demand that such information will either be corrected, deleted or supplemented. Such requests will be answered and addressed within 30 days, free of charge.
